Readiness of Hospital Employees on the Migration of Medical Records from Manual to Electronic System

Abstract

This research identified the preparatory steps of TCHI employees towards records migration and determined the readiness of personnel towards the migration of Tayabas Community Hospital Inc. (TCHI) from manual to electronic record system along the areas of technical skills and work efficiency. It also determined the current systems reliability measures utilized by the personnel of Tayabas Community Hospital Inc. on the aspects of accuracy, security and confidentiality, accessibility, breach of security, and recovery of files. Readiness improvement recommendations was created based from the results of the study. The study used the descriptive design utilizing survey method of research. In terms of work efficiency, respondents are proficient in the completion of assigned task ahead of time but they are developing towards purging files to avoid duplication of records/data. For provisions for recovery of files in case of fire and other calamities the hospital still needs a manual for emergency purposes. To improve technical skills of the hospital personnel, software demonstration and training may be done to enhance the records department and nurses‘ skill in manipulating the electronics records system, including its maintenance. For work efficiency, archiving and clean-up workflow enhancement can be done to improve the process of data handling in the hospital. For data management practice, an ICT administration team may be created to handle electronic data system-related concerns. Effectiveness of the suggested strategies to improve the implementation of the electronic data system may be tested to know whether it really helped address issues regarding data migration. Feedback from patients may also be gathered regarding the implementation of the electronic records system.
