A PROPOSED CLIENTS’ DATA MANAGEMENT AND PROCESSING SYSTEM FOR XYZ ACCOUNTING OFFICE

Abstract
XYZ Accounting Office attested that their current system of manual filing and storage is inefficient since they have too many hard copy files. They need to adapt to technological advances to keep up with other businesses and government agencies. The researchers gathered data and information about the entity. First, to have an understanding of the services of the entity as a whole, the researchers studied the background of the company, their mission and vision as well as the organizational structure of the entity. Second, the researchers acquired knowledge of the accounting office’s recording, filing and storing of information practices. Third, the researchers familiarized themselves with the manual procedures for the transactions of the entity. Lastly, for the application, the researchers used Rapid Application Model. The researchers analyzed the inputs gathered by observing the records and procedures, interviewing the management and lastly by experiencing the manual procedures of storing, recording and computing practices of the entity for their clients. The researchers were able to make the application for the entity using the Microsoft Access and Visual Basic in the Visual Studio.
The initial output is the prototype of the clients’ data management and processing system for XYZ Accounting Office. It was given to the entity and was evaluated by an IT professor. The researchers observed the satisfaction of the management of the entity during the test. Also, they were able to collect different suggestions and comments from the management and evaluator. It served as the basis for the improvement of the system. The final output was the proposed clients’ data management and processing system, and also the proposed modifications for their organizational structure and internal control procedures.
