Colleges, departments, offices, centers, institutes, and other University units are requested to submit newsworthy information through the MSEUF News Submission Form instead of directly creating news articles through the University website administration portal.
The process combines structured information gathering, AI-assisted drafting, editorial review by the Center for Marketing Innovation and Digital Engagement (CMIDE), and factual verification by the submitting office before publication.
How the process works
1. Submit the information
The originating office completes the MSEUF News Submission Form and provides the facts, supporting details, photographs, quotations, and other information needed to develop the article.
You do not need to write the complete news article.
Focus on providing complete and accurate information.
2. AI prepares the initial draft
The submitted information is processed through the University's AI-assisted news drafting workflow.
The system organizes the information into an initial article based on the University's established news-writing conventions and editorial standards.
The AI-generated article is a working draft only. It is not automatically published.
3. CMIDE reviews and edits the article
CMIDE reviews the generated draft for writing quality, structure, consistency, readability, institutional terminology, and suitability for publication.
CMIDE may revise the headline, lead, organization, wording, and presentation of the article while preserving the verified facts supplied by the submitting office.
4. The submitting office verifies the information
The reviewed article is returned to or coordinated with the submitting office for factual verification.
The originating office must carefully check:

After factual verification and final editorial review, CMIDE facilitates publication of the approved article on the official University website.
When appropriate, the information may also be adapted for other official University communication platforms.

University units are encouraged to submit developments that demonstrate the accomplishments, activities, partnerships, expertise, service, innovation, and growing impact of the Envergan community.
News submissions may include:

Routine announcements, simple meeting documentation, internal reminders, and activities with limited news value may be better communicated through other appropriate University channels.
CMIDE may determine the most suitable communication platform for submitted information.
What information should I prepare?
Before opening the News Submission Form, prepare the basic information that will allow CMIDE to develop an accurate article.
The essential details
Provide clear answers to the following:
Who?
Who participated, organized, received the recognition, represented the University, or led the activity?
What?
What happened? What was accomplished, launched, presented, awarded, discussed, or completed?
When?
When did the event or achievement take place?
Where?
Where was it held or accomplished?
Why?
Why is the activity, achievement, or development significant?
How?
How did the activity happen, or how was the achievement accomplished?
Whenever possible, also explain the result, impact, or significance of the activity.
Provide complete names and official details
Accuracy begins with the information submitted by the originating office.
Please verify the spelling of names, official positions, organizations, institutions, program titles, awards, competition categories, and other proper names before submitting the form.
Do not rely on CMIDE or the AI-assisted drafting system to determine information that was not provided in the submission.
If a fact requires verification, include a supporting link, document, official result, announcement, or other reliable reference whenever available.
Include meaningful quotations
A direct quotation can strengthen a news article by adding context, insight, or institutional perspective.
When appropriate, offices may provide a verified quotation from:

Frequently asked questions
Do we still need to write the complete article?
No. Offices are primarily responsible for providing complete and accurate information through the News Submission Form.
The automated workflow will prepare an initial draft, which CMIDE will review and edit.
Can our office still directly create a news post through the website administrator portal?
Under the centralized process, University news should be submitted through the official News Submission Form unless the office has been specifically authorized to use another procedure.
This allows University news to follow one editorial and verification process.
Will the AI-generated article be published automatically?
No.
AI only prepares an initial working draft. CMIDE reviews the article, and the originating office verifies the factual information before final publication.
Who is responsible if information in the submission is incorrect?
The submitting office remains responsible for the accuracy of the facts, names, titles, dates, quotations, results, and other information it provides.
CMIDE is responsible for editorial treatment and compliance with University communication standards.
Can CMIDE change the article?
Yes.
CMIDE may revise the headline, lead, wording, structure, length, and presentation to improve the article and ensure consistency with University writing standards.
Editorial changes will not intentionally alter the verified meaning or factual substance of the submission.
What if CMIDE needs more information?
CMIDE may contact the person identified in the submission or request additional details before the article proceeds to publication.
Does every submission automatically become a website article?
Not necessarily.
CMIDE may evaluate the newsworthiness, completeness, relevance, and appropriate communication channel for each submission.

How soon should we submit news?
Submit information as soon as possible after an event, achievement, or official development while the information remains timely.
