Guidelines for Student Organization News Submissions
The Center for Marketing Innovation and Digital Engagement CMIDE, in coordination with the Office of Student Organizations OSO under the Office of Student Affairs and Services, provides accredited student organizations with the opportunity to publish articles about their activities on the University website.
All accredited student organizations must submit their stories through the MSEUF News Submission Form, even if they have existing microsite accounts.
Important: Select OSO as your department
When completing the “Department, college, office, or campus” field, student organizations must select:
OSO – Office of Student Organizations
Do not select the academic college or department to which your organization or its members belong. Selecting OSO ensures that the submission is properly identified and processed as a student organization story.
Activities eligible for publication
CMIDE will accept stories about activities that the submitting student organization:

Initiated and organized;

Led as the primary organizer; or
-
Co-organized with another student organization or University unit.
The submission must clearly explain the organization’s role, contributions and accomplishments.
Activities not eligible for a separate story
To prevent duplicate stories on the University website, CMIDE will no longer approve separate student organization articles about institutional events or activities in which the organization participated only as an:

Invited attendee or delegate;

Performer;
-
Volunteer;
-
Participant; or
-
Supporting group.
Institutional activities will be covered through the appropriate official University article. Participation in an institutional activity alone does not qualify an organization to submit a separate story.
Jointly organized activities
When two or more student organizations jointly organize an activity, each organization must focus its submission on its own role, contributions and accomplishments.
Participating organizations must coordinate their submissions to avoid identical or substantially similar stories. CMIDE may combine related submissions, request revisions or approve only one consolidated article when necessary.
Submit stories promptly
Student organizations must submit each story promptly after the activity. CMIDE strongly discourages submitting several activities all at once.
Bulk or delayed submissions may:

Take longer to review and process;

Be returned for revision;

Receive lower publishing priority; or
-
Be disapproved, especially when the information is no longer timely or relevant.
Whenever possible, submit one complete story immediately after each activity instead of compiling multiple activities for a single or simultaneous submission.
Before submitting
Make sure that:

Your organization initiated, led or co-organized the activity;

You selected OSO – Office of Student Organizations, not your academic college or department;

The information is complete, accurate and verified;

The story clearly identifies your organization’s role;

Names, positions, dates and venues are correct;
-
The submission does not duplicate an existing or previously submitted University story;

Photographs are clear, relevant and properly identified;
-
Accessible links to supporting photographs and files are included; and
-
All required fields in the submission form are completed.
Review and publication
Submitting a story does not guarantee publication. CMIDE will review every submission for relevance, completeness, accuracy, timeliness, originality and compliance with University communication standards.
CMIDE may edit a submission for clarity, grammar, style, length and consistency. It may also return the story for revision, combine it with a related article or decline it when it does not meet these guidelines.
Student organizations should include news submission in their post-activity documentation and communication process.
